At Ghoomakkad Travels, we understand that plans can change. Our refund and cancellation policy is designed to balance fairness to travelers with the commitments made to our independent tour agents. We aim to provide clarity, transparency, and support at every step.
Advance Booking Requirements
- 30 days or more before departure: 25% of total cost payable
- 20–29 days before departure: 50% of total cost payable
- 19 days or less before departure: 100% of total cost payable
Cancellation Policy
Regular Tour Packages
- You may cancel your booking at any time by sending written notice or email from the person who made the booking.
- Cancellation charges apply as follows:
- 30 days or more before departure: 25% of total cost
- 20–29 days before departure: 50% of total cost
- 19 days or less before departure: 100% of total cost
Note: In certain cases, we may offer travel credits redeemable on future bookings, even where refunds are not available.
Short-Term Experiences & Activities
- Full refund: Cancel at least 24 hours before the experience start time
- No refund: Cancellations made less than 24 hours before start time
- No modifications: Changes requested less than 24 hours before start time will not be accepted
- Weather cancellations: If canceled due to poor weather, you’ll be offered an alternative date or a full refund
All cut-off times are based on the local time of the experience.
Refund Policy
Eligibility
- Refund requests must be made within 24 hours of cancellation.
- Refunds are not available if vendors have already initiated service delivery.
- Refunds apply only to inclusions confirmed in your package that were not delivered.
- Proper receipts must be submitted where applicable.
Processing Timeline
- Refunds are processed within 7–21 days of approval.
- Most refunds are completed within 7–10 days, though delays may occur due to banks or tour agents.
- We will keep you updated throughout the process.
Non-Refundable Items
- Visa rejection fees (hotel and other cancellation policies remain applicable)
- Special tour packages (group tours, limited occasion offers)
- Services booked outside of Ghoomakkad Travels/Explorekkia.com
- Same-day delivery bookings
Modifications and Changes
We understand plans may change. While modifications are subject to availability and may incur additional costs, we’ll do our best to accommodate your requests.
- Changes are subject to the original package’s cancellation policy.
- Modifications require mutual agreement and are at the discretion of Ghoomakkad Travels and the tour agent.
Force Majeure
In rare cases of events beyond our control (war, civil unrest, natural disasters, adverse weather, government orders, strikes, attraction closures, etc.), Ghoomakkad Travels will:
- Make every effort to provide alternative arrangements, credits, or partial refunds
- Not be held liable for cancellations or losses caused by such events
Platform Role in Refunds
As a marketplace platform, Ghoomakkad Travels:
- Facilitates communication between travelers and tour agents regarding refunds
- Actively follows up on refund requests with tour agents on behalf of travelers
- Ensures transparency and documentation of all communications
Final refund decisions may rest with the respective tour agent, but we will advocate for fair treatment of travelers.
Responsibilities and Limitations
What We Do
- Provide a secure marketplace for tour agents to list packages
- Facilitate communication between travelers and tour agents
- Assist in dispute resolution
- Follow up on refund and cancellation requests
- Verify and register tour agents
What We Do Not Do
- Create, design, or operate tour packages
- Act as a tour operator or travel service provider
- Make final refund decisions (these remain with tour agents)
- Assume liability for services provided by tour agents
Dispute Resolution
- Complaints must be reported within 24 hours of the issue occurring.
- Submit complaints through our platform with relevant documentation.
- We will mediate between traveler and tour agent to reach a fair resolution.
- Final responsibility for service delivery rests with the tour agent.
Customer Support
For cancellations, refunds, or disputes:
- Contact our customer support team with your booking details and order number.
- We will facilitate communication with your tour agent and expedite urgent matters.
- All communications are documented for transparency.
Acknowledgement
By booking through Ghoomakkad Travels (Explorekkia.com), you acknowledge:
- You are entering into a service contract with the respective tour agent.
- Ghoomakkad Travels acts solely as a facilitating marketplace platform.
- Refunds and cancellations are subject to both platform policy and tour agent terms.
